Peakline's company is set up. Now Jason, Sarah and David need to log in. That means users, and every user needs a license.

Users and licenses

  • A user is a person who logs in to Salesforce, with their own username and password.
  • A user license decides which Salesforce features that user can use.

Your company buys a set number of licenses, and each active user takes one. You can see how many are left on the Company Information page.

Adding a user

  1. In Setup, go to Users and click New User.
  2. Fill in the name, email and a unique username.
  3. Pick a user license, and a profile, which controls what they can do.
  4. Save. Salesforce emails them a link to set their password.

Freeze or deactivate

You can't delete a user in Salesforce, because their records would lose their owner. Instead, you have two options:

ActionWhat it does
FreezeStops them logging in right away, but they keep their license
DeactivateTurns the user off for good and frees the license for someone new

Say a temp worker at Peakline is leaving on Friday, but their deals still need a new owner. Jay freezes them today, so they can't log in, then deactivates them once the deals have moved.

Recap

  • A user is a person who logs in, and each one needs a license.
  • Add users from Setup, with a license and a profile.
  • You can't delete users. Freeze to stop logins fast, and deactivate to free the license.

Now you try
